    Plan your move

    You are about to enter your new dream office any day now. But before you can experience that wonderful feeling, a less pleasant event awaits… Moving offices is a time-consuming process that no one enjoys. But with our advice, everything should go as smoothly as possible.

    Office handover

    Your access cards will be delivered at the handover. Because a handover report will be signed towards the end of the meeting, an authorized representative of your company must be present to put their signature on the dotted line. At that point, it is also recommended to gather your own photographic documentation of the interiors.

    Delivery hours

    If you are planning a move or an office equipment delivery, you should schedule it outside of working hours: between 5:00 PM and 7:00 AM or at the weekend. This will limit inconvenience for other tenants. Besides, they are less likely to feel envious of your state-of-the-art equipment.

    Report and confirm delivery

    Any major delivery should be reported in advance to the property manager, building technical service manager and security via an approval form. Here is the step-by-step procedure that will allow your delivery to navigate potential obstacles and reach your office safely.

    REPORTING A DELIVERY: STEP BY STEP

    STEP 1

    Notify the property manager, building technical service manager and security three days in advance. This way, they will be able to ensure that your move or delivery will not coincide with any other work in the building that may stand in your way.


    STEP 2

    Details worth discussing with the property manager include: furniture delivery pathways, booking a lift to transport your cargo, and entry rules for deliverymen. If you find it necessary, order a waste container and provide extra security for the duration of the move. In addition, take care not to damage the lift. The cost of these additional services is yours to cover.


    STEP 3

    Monday through Friday between 5:00 PM and 7:00 AM the next day or Saturday and Sunday are the perfect times to move. This way, you will not disturb others, and others will not disturb you.


    STEP 4

    Once you have selected your moving company, let the property manager know its name. Moreover, provide contact information for the person who will manage the move on your part.


    STEP 5

    No later than one day before your move, provide the property manager with a list of people who are involved in the delivery or the move and therefore authorized to access the building. This is also the moment to establish some ground rules about building access for all the people involved.


    STEP 6

    All the equipment and materials should find their way to Level -1 of the underground parking garage. There, lifts will allow you to bring them up to your office floor. Just in case, we would like to remind you again to protect the lift from any damage.


    STEP 7

    We admit we have mentioned it already, but this is important to us: your entire delivery should reach your floor through the designated lift on Level -1 of the parking garage. Nothing can be carried in through the main entrance on the ground floor.

    There are exceptions to every rule, of course. The property manager may authorize delivery through the entrance hall. Still, remember that this is possible in exceptional situations.


    STEP 8

    Make sure that the delivery vehicles have been parked in spaces approved by the property manager or security.


    STEP 9

    Because the space we offer is extraordinary, we have some requirements on delivery carts for office moving. They must have rubber wheels and must not smudge or stain. This (along with careful wheeling) should protect the floors in lift halls, doors, and lift interiors. This is worth your attention because you and your employees should be able to enjoy these spaces right after the move.

    Pro tip

    The multi-storey aboveground garage welcomes vehicles no taller than 2.2 m, while the underground garage is only open to vehicles no taller than 2.0 m. Remember that there are also weight restrictions: the aboveground garage only allows cars and lorries of gross vehicle weight no larger than 3.5 t.


    Surface parking for big delivery trucks

    We realize that not every delivery vehicle can fit into our underground garage. In that case, the property manager or security can approve parking outside the building. The best idea is to get such authorization in advance.

    Cargo lift

    Inform the moving company (and other suppliers) that they cannot block the cargo lift. Shipments must be removed immediately when the door on the relevant floor opens.
