    GENERAL TIPS

    Below you will find details related to the rules governing the use of your office. If you’re missing any information, please get in touch with us and/or take a look at your contract.

    WHAT CAN BE CHANGED IN YOUR OFFICE

    If you move out, the office should be restored to its original condition. Any modifications you make should be reversible.

    Without any special permission:

    Hanging posters, paintings, signs, TVs on the walls.

    Installing hanging decorations.

    Painting the walls & adding partitions up to 1,5 m high.

    With a special permission:

    Placing stickers on the glass doors.

    Exchanging of blinders.

    Modifications to floors.

    Modifications to floor boxes.

    Modifications to intercoms.

    WHAT CANNOT BE DONE

    Without written permission, you cannot make changes that cannot be reversed after the end of your contract without incurring above minimal costs or without further interfering with the room.

    Renovation and arrangement changes of the office

    How about a small renovation? It’s not a problem for us if you have it authorised by the Property Manager and the main technician. If the renovation work becomes onerous, e.g., noisy, it must be carried out in the evening or at the weekend.


    Pro tip

    Report the renovation work to the property manager, building technical service manager and security by email, submitting an approval form. It can be started once your permission is confirmed.


    If you wish to renovate or redecorate your interior, follow the procedure guidelines in “Wytyczne prowadzenia prac remontowych w kompleksie «Quattro Business Park»” [Guidelines for carrying out renovation work in the «Quattro Business Park» complex], which was sent by email by the property manager. These guidelines should also be communicated to the company contracted to implement the project. Here are the key provisions of the document.

    ORGANISING A RENOVATION STEP BY STEP

    STEP 1

    The property manager must permit any work to begin. The permit is issued based on a completed notification form submitted to the property manager on paper or by email.


    STEP 2

    Upon granting a permit, all working conditions must be agreed with the property manager. This also applies to the location of the construction waste container, the route for transporting materials, the choice of the lift delivering the materials, and the way of securing the lift against damage, the rules for entry into the building by the employees of the company carrying out the project, and how to secure the fire protection system that is in the premises.


    STEP 3

    The contractor should be informed that the construction work is subject to certain time restrictions, which should be taken into account when scheduling the work. The restrictions are as follows:

    • On weekdays, quiet work, such as smoothing down or painting, can be carried out at any time of day or night.
    • Noisy work, such as removing walls, sanding or drilling, can only be carried out on weekdays between 6 p.m. and 7 a.m. in buildings A, C, D and FIVE; in building B such work can start at 8 p.m. and end at 7 a.m.
    • On weekends, any type of work, irrespective of its inconvenience to those around it, may be carried out from 7 a.m. on Saturday until 7 a.m. on Monday.

    STEP 4

    There are many more rules governing building and interior design work. Some of them are notable, e.g.:

    • Workers performing construction or interior design work are not allowed to be outside the working area for long periods of time.
    • Smoking at the work site is prohibited.
    • Storing or leaving any construction materials outside the work site is prohibited unless agreed with the security staff of the building complex.
    • Site security should be able to easily identify the repairmen and renovators. Therefore, they should wear high-visibility vests with the name of the company carrying out the work. Employee records should also be kept.
    • All activities, such as the delivery of materials and the removal of debris or furniture should be carried out along predetermined routes.
    • The contractor is responsible for making the work area fire-safe.
    • Any parts of the premises and building that could be affected during the works should be secured. This applies in particular to the doors to the premises, which should be wrapped in film, as well as the floor of the lift lobby or the lift itself.
    • If despite the safety precautions taken, a breakdown or damage occurs, the security personnel of the complex must be notified immediately, and the contractor shall proceed to rectify the breakdown or repair the damage.

    Any interior design work at Quattro Business Park must be performed following a special procedure, which can be found in the document “Uzgodnienie zmian aranżacyjnych w kompleksie «Quattro Business Park» – dla Najemcy” [Agreement concerning interior changes in the «Quattro Business Park» building complex – for the Tenant], which was also sent by email by the property manager. Here are its key points.

    ORGANISING AN INTERIOR CHANGES STEP BY STEP

    STEP 1

    To carry out any interior design changes, a written agreement with the property manager is required. Such an agreement shall include renovation, modernisation, functional changes to the premises, installation of new equipment and systems and their replacement. The agreement should include the terms and conditions of the work and work settlement.


    STEP 2

    The approval to carry out the work is granted once a complete technical documentation of the planned changes to the premises has been submitted.


    STEP 3

    Although the interior design work is carried out by a contractor, you are still responsible for it. You must therefore agree to the conditions of carrying out the work with the property manager before you start. These include the location of the wastes container, the route for transporting materials, the choice of the lift reserved for deliveries, how to protect this lift from damage, the rules for entry into the building by the contractor’s employees, how to secure the fire system operating in the premises.


    STEP 4

    Before starting work, provide the contractor with the building’s fire safety rules and inform the contractor of escape routes.


    STEP 5

    All interior design work on the Quattro Business premises should be carried out following the guidelines “Wytyczne prowadzenia prac remontowych w kompleksie «Quattro Business Park»” [Guidelines for carrying out renovation work in the «Quattro Business Park» complex], especially when concerning the time limitations regarding arduous work in individual buildings.


    STEP 6

    On completion of the work, you immediately provide the property manager with as-built documentation containing the changes made.

    Common areas

    “Your home, your rules” may be accurate but not in the space where coworkers from different companies cross paths. In the common areas you cannot put any marks, information, flags, posters, or ads, excluding the examples described in Signage section. This applies to windows, doors, corridors, and other common areas of the building – unless we expressly consent to it. To receive permission, make sure that any messages you want to put in common areas match the surroundings and don’t stand out.
